On-Site AI for Small Business: How an Office AI Agent Is Installed

By Kurt Francisco Pavia, founder of 11:11 Websites · Updated October 23, 2026

An office AI agent is a computer in your office running your own AI assistant. It connects to your email, calendar and files and works through daily admin. Here is how installation works.

1. Walkthrough

We find the three to five jobs that cost you the most time or money: unanswered quotes, unpaid invoices, inbox overload, paperwork, staff questions.

2. Choose the hardware

Most offices need a compact, complete mini PC. Offices that want private AI models running on site for sensitive work get a desktop with a graphics card. Add a small battery backup so a power blip doesn't stop it.

3. Build and connect

We set up the assistant (built on the open-source Hermes Agent), its skills and its connections, with access limited to the accounts you choose.

4. Privacy settings

Decide which documents stay on the office computer and which tasks may use cloud AI services such as Grok or Claude. Cloud usage runs on accounts in your business's name.

5. Install and train

We set it up on site and train you and one staff member: how to text it, approve its drafts and check its work.

6. Two careful weeks

For the first two weeks it asks approval for everything. You approve the messages you trust as templates.

7. Ongoing care

Monitoring, updates, nightly backups and new skills as your business grows.

What the office needs

What changes after the first month

Most offices start by using the assistant for the morning briefing and inbox triage. Once they trust it, they add follow-ups, invoice reminders and paperwork. The care plan covers adding new skills as your needs grow.
