A bad review hurts, but your reply is written for every future customer who reads it. A calm, specific response often earns more trust than a perfect rating.
The reply formula
- Thank them for the feedback.
- Acknowledge the problem without arguing.
- State the facts briefly, if something is wrong.
- Offer to fix it offline, with a name and contact.
- Keep it short.
Example: a late arrival
Thanks for letting us know, Maria. You're right that our crew arrived late on Tuesday, and I'm sorry for the wait. We've changed how we schedule morning jobs. I'd like to make it right; please text me at (xxx) xxx-xxxx. — Joe, owner
Example: a review that isn't accurate
Thank you for the review. We take every concern seriously. We couldn't find a job under this name in our records, and we'd like to understand what happened. Please contact me directly at (xxx) xxx-xxxx. — Joe, owner
Never do this
- Argue, blame or share private details about the customer
- Offer money or discounts in exchange for removing a review
- Threaten the reviewer
- Post fake positive reviews to bury it
When to report a review
If a review is spam, off-topic, hateful or from someone who was never a customer, report it through the platform's tools. Disagreement alone is not a reason for removal.
A reply template you can adapt
Thank you for the feedback, {Name}. I'm sorry {specific issue}. That's not the experience we want for anyone. {One sentence on what you've changed, if anything}. I'd like to make this right; please contact me at {phone or email}. — {Your name}, {role}
Turn reviews into improvements
Keep a simple list of complaints. If the same issue appears more than once, fix the process, not just the reply. Then mention the fix in future replies.
Balance with more positive reviews
The best protection against one bad review is a steady flow of genuine good ones. Ask every customer after the job, with a direct link. Never pay or offer discounts for reviews, and never ask only happy customers.
Questions
Should I respond to every negative review?
Yes. Reply calmly and quickly. Future customers read your replies as much as the reviews.
Can I ask a customer to change a bad review?
You can fix the problem and let them decide. Never offer payment or discounts in exchange for changing or removing a review.
